PRELIMINARY INFORMATION ACCORDING TO LEGISLATIVE DECREE 196/2003 The Legislative Decree 196/2003, so called Personal Data Protection Code or Privacy Law in short, allows the personal data handling only with the consent of the interested party who must be preliminarily informed about the use of the data concerning him/herself. As a consequence Paralleli Trade Fairs is hereby giving this preliminary information. 1) Aim of data processing Under the Clause 13 of Legislative Decree 196/2003, the personal data that we happen to know are processed for: 1A) (COMPULSORY) conclusion of the contract, fulfilment of your specific requests before the conclusion of the contract, legal obligations related to Italian or European laws, regulations, also of fiscal nature, obligatory formalities by Italian and European Authorities, administrative management, certifications, assistance before, during and after the exhibition. 1B) (OPTIONAL) information on future editions or new trade fairs and exhibitions, and all related services, dispatch of promotional and advertising materials, direct sales, also by telephone, fax, e-mail and similar means. 1C) (OPTIONAL) customer satisfaction verification, market analysis, marketing and sales statistics. All these activities are carried out only for internal purposes of Paralleli Trade Fairs. The personal data processed by Paralleli Trade Fairs are collected from yourself or through specialised companies. When the data are not collected from yourself the preliminary information is given to you as soon as the data are collected or when the Privacy Law impose the communication of such preliminary information. In any case the data processing fully complies with the Privacy Law and with the privacy obligations that Paralleli Trade Fairs imposes itself. 2) Method of data processing The data processing is carried out with informatic, telematic and paper means or any other telecommunication system guaranteeing the data security and confidentiality and the full respect of Law 196/2003. This preliminary informative is given for the information and data collected directly from the person or company concerned and also in the case that these information and data are collected from other parties, such as specialised companies, search engines, exhibition catalogues, public or official registers, or any other whatsoever document that is accessible to anybody. 3) Scope of data processing The data are processed by our personnel and could be transferred to our subsidiary or holding companies, sales network, well trusted suppliers, exhibition organisers, trade show catalogue publishers, travel agents, freight forwarding companies and other companies supplying services for trade fairs and exhibitions, banks, accountants, lawyers, private companies (as references) or public bodies if required by the law. 4) Duration of data processing The data will be processed for the entire duration of the contractual relations and even afterwards in relation to all the relevant legal and fiscal obligations and also for future promotional opportunities. 5) Rights of the concerned subject According to Art 7 of Legislative Decree 196/2003, the person concerned shall have the right to obtain confirmation as to whether or not personal data concerning him/her exist, regardless of their being already recorded, and communication of such data in intelligible form. The concerned subject can also ask to know the origin of the data, the method and the scope of their processing. The concerned subject shall have the right to be informed of the source of the personal data, of the purposes and methods of the processing, of the logic applied to the processing, if the latter is carried out with the help of electronic means and of the identification data concerning data controller, data processors and the representative designated. The concerned subject shall have the right to obtain a) updating, rectification or, where interested therein, integration of the data; b) erasure, anonymization or blocking of data that have been processed unlawfully, including data whose retention is unnecessary for the purposes for which they have been collected or subsequently processed; c) certification to the effect that the operations as per letters a) and b) have been notified, as also related to their contents, to the entities to whom or which the data were communicated or disseminated, unless this requirement proves impossible or involves a manifestly disproportionate effort compared with the right that is to be protected. The concerned subject shall have the right to object, in whole or in part, on legitimate grounds: to the processing of personal data concerning him/her, even though they are relevant to the purpose of the collection; to the processing of personal data concerning him/her, where it is carried out for the purpose of sending advertising materials or direct selling or else for the performance of market or commercial communication surveys. The concerned subject may grant, in writing, power of attorney or representation to natural persons, bodies, associations or organisations in connection with exercise of the above rights. The data subject may also be assisted by a person of his/her choice. Paralleli Trade Fairs, in the aim of granting you the exercise of your rights, facilitates access to personal data by the concerned subjects, even by means of ad hoc software, allowing accurate retrieval of the data concerning individual identified or identifiable data subjects and simplifies the arrangements and reduces the delay for the responses, also with regard to public relations departments or offices.
